Our client is looking for an experienced Business Support Coordinating Officer

Working from home, coming into office on occasion for meetings
Work from home Mon to Fri from 9am to 5.30pm (5pm on Fridays). Total 37 hours per week

Import Stock Condition data and other relevant information into the Housing Asset Management Database (HAMD) and ensure data is accurately incorporated into the database.

To accurately input and maintain annual servicing data, and details relating to the asbestos register.

Receive telephone calls from housing tenants and other service users requesting housing improvement services and action these requests as appropriate.

Administer data associated with the allocation of work to work team, including distribution and monitoring of allocated work and performance monitoring.

Creating, inputting and monitoring data on spreadsheets, databases and specialist packages as required.

Maintain the Adaptations Database for all enquiries relating to disabled adaptations to Council property undertaking a suitability assessment/survey of the property to identify needs in accordance with Council policy and correspond with all applicants in respect of such application.

Effectively involve; discuss and take advice from the Council’s Occupational Therapist in determining adaptation needs. For minor improvements apply Council policy to deliver the improvements.

Administer the adaptations budget, liaise and provide monthly reports to the Development and Investment Manager as requested.

Where adaptation works are required, liaise with Building Services to commission the works.

Post inspect all major adaptation works and quality control minor works. Raising all defects with the contractor concerned.

Where property is not suitable for adaptation; discuss/liaise with all stakeholders the most suitable options.

To liaise with the Affordable Enabling Officer to identify suitable new build opportunities to deliver Accessible Housing.

Ensure all completed works are registered on the Council’s Asset Management Database (Keystone).

Use the database to produce all reports and data analysis required by the Development and Investment Manager.

Install and test new versions and modules of the database.

Provide admin support role for other elements of the Housing Improvement service including Voids, Housing Adaptations and other parts of the service.

Maintain data standards including adherence to the Data Protection Act

Provide an active role in improving the Housing Improvement Service by implementing change in guidelines, procedures, process and systems to deliver an excellent service to our customers.

To undertake general office duties as and when required.

To assist the Development and Investment Manager in the delivery of the Service Quality Management System, and Team Plans.
To undertake customer care/satisfaction surveys, complaints management and performance information processes.
Ensure compliance with the Council’s Financial Regulations, Standing Orders, Policies and Procedures
To implement the principles of the Council’s Equal Opportunity Policy whilst carrying out the above duties
To adhere to Health and Safety legislation/relevant Council policies and procedures and to take reasonable care for the health and safety of yourself and other persons who may be adversely affected by your acts/omissions.
To implement the principles of the Council’s Environment Policy while carrying out the above duties.
To report without delay any safeguarding concerns to the appropriate safeguarding officer.
